How to Submit Reserves Requests

Instructors may use the Course Reserve Form to request material for course reserve anytime throughout the semester. This form is for any material an instructor wishes to place on reserve apart from personal items. Please see the section titled "Personal Material on Reserve" for more information.

Instructors may enter up to 8 individual items on the form for their reserve. If more than 8 items are needed, the form will direct them to upload a document with all cited material listed.

If an instructor wishes to place an item on reserve that the library does not currently own, add it to the course reserve form and a course reserves staff will make every effort to rush order the item.

Course Reserve Material Uploaded Directly into Blackboard Courses

Course reserve material will be uploaded directly into Blackboard courses for each Course Reserve Form received providing the Blackboard Course ID. Once the appropriate course reserves staff receive the course reserves form, it will be processed, and all approved material will be directly uploaded into the instructor's Blackboard course.

In some cases, the reserve material may be assigned a password by the course reserves staff. This is extra security due to copyright fees being paid on some material. If any material requires a password, the instructor will be notified and provided with the password.

Please note that all material will only be accessible during that current semester. Once that semester concludes, the instructor will need to submit a new Course Reserves Form if they wish for their material to stay on reserve.

Electronic Material

The Course Reserves Staff will provide electronic versions of requested material, whenever possible. Not all material is available digitally, however. If that be the case for any requested material, the instructor will be notified, and the physical material will be provided instead.

Streaming Media Material

The University Libraries has access to several streaming media databases that can be used in any course reserve. If an instructor wishes to place streaming media on reserve, they will need to submit a Course Reserve Form like any other material being requested for reserve.

Streaming media are often licensed for a limited time; therefore, a new Course Reserves Form must be submitted each semester to ensure all streaming media links are up to date and renewed.

Personal Material

Instructors can place their own personal items on course reserve any throughout the semester. To place personal items on reserve, instructors need to bring their personal items to the Help Desk in Mullins Library and request the paper "Personal Item on Reserve" form.

This form is required for us to place personal items on reserve. It gives the course reserves staff permissions to place call number and reserve stickers on the material. It also notifies the instructor that they are required to retrieve their own material at the conclusion of the semester. If the items are not retrieved by the instructor within 60-days of the end of the semester, the material will be recycled.

Interlibrary Loan Material

Material borrowed through Interlibrary Loan Service may not be placed on course reserve. An article or book ordered through Interlibrary Loan is for personal use only. If an instructor wishes to share an article obtained through Interlibrary Loan with their students, then copyright permissions are required. Instructors may submit a Course Reserve Form for assistance in obtaining permission from Copyright Clearance Center.

Submission Deadlines

Course Reserves Requests for accepted anytime throughout the year and they are processed on a first come, first-processed basis. The instructor should receive confirmation that their course reserve request was received within 2-3 business days of submission; however, it may take longer to process the entire request. Material not in the library’s current collection may take additional time to acquire. Please expect delays during high volume periods such as at the beginning of the semester.

Loan Periods

Materials may be placed on reserve with the following loan periods:

(Note: Loan periods are for physical items being placed on reserve only. Digital material will not have loan periods)

Materials are routinely removed at the end of each semester. They will stay on reserve for that current semester only, unless indicated otherwise. Upon removal from course reserve, personal material will be placed on the hold shelf in Mullins Library for the instructor to retrieve at their earliest convenience.

The University Libraries Course Reserves Service provides access to supplementary course materials in support of the university's academic mission and operates in compliance with U.S. Copyright Law.

Instructors are asked to accept full responsibility in complying with the provisions of the Copyright Revision Act of 1976 that governs the "fair use" of copyrighted objects for educational purposes. There are four factors to consider when determining fair use:

  1. the purpose and character of the use, including whether such use is of a commercial nature or is for nonprofit educational purposes
  2. the nature of the copyrighted work
  3. the amount and substantiality of the portion used in relation to the copyrighted work as a whole
  4. the effect of the use upon the potential market for or value of the copyrighted work

Submitting a Reserve Request form indicates acceptance of the conditions in the statement of copyright compliance that accompanies the form.

The library will not place materials on reserve if it judges that the nature, scope, or extent of the material is beyond the reasonable limits of fair use.

Fair Use Guidelines

The Libraries will not place material on electronic reserve if it is judged that the purpose, nature, and the effect of a reserve request is beyond the reasonable limit of fair use. Please view the Libraries' Reserves Decision Tree.

Purpose and Character of Use

The Libraries will place materials on reserve only for non-commercial, educational use.

Patrons may use reserve materials for private study, personal reading, research, or for completing class assignments. The Libraries will not charge a fee to patrons for using the reserve materials.

Amount and Substantiality

Only a small portion of a copyrighted work may be accepted for electronic reserves without obtaining copyright permission.

Materials that the Libraries deem to exceed those limits will not be placed on reserve within Copyright Clearance permission received.

Copyright Notice

Each reserve item must include a copyright notice from the publication to inform users that the work may be protected by copyright law.

Attribution and Citation

All materials submitted for electronic reserve must include appropriate citations and attributions to the source from which they were reproduced.

Course Packs

Course packets sold through the bookstore that are intended for use as textbooks may not be accepted for electronic reserve unless copyright permission has been obtained for each item.

Course Passwords and Access

Access to selected electronic reserve materials is limited to the instructor(s) and to the students enrolled in the course. A new Course Reserves Form must be submitted each semester to renew copyright protected material.

Recurring Reserve Items

All materials on electronic reserve will be removed at the end of the course.
